General Responsibilities

The position reports directly to and works closely with the COO in support of all back office functions.

  • Human Resources – administrative support for all HR functions, including
    • Recruiting, on-boarding, employee engagement, annual evaluations and processing terminations.
    • Recordkeeping and file maintenance to ensure compliance.
    • Benefit enrollment and management.
  • Finance & Accounting
    • Assist Controller with accounts payable and accounts receivable functions including billing, collections and cost controls.
  • Facilities
    • Liaison with property management.
    • Correspond with vendors to facilitate repairs, maintenance and tenant improvements.
    • Supervise office to ensure it is neat, clean, safe & professional in appearance.
    • Monitor equipment and fixtures to make sure all is in working condition.
    • Ordering and stocking of office and kitchen supplies.
  • Marketing
    • Work with marketing committee on marketing activities and projects.
    • Maintenance of computerized marketing database and mailing list.
    • Order awards and swag to promote the firm.
  • Event Planning and Coordination
    • Plan events for the firm’s team members, such as social hours, holiday parties and employee appreciate events.
    • Plan firm networking and client appreciate events. Including researching and suggesting caterers and other vendors.
    • Plan and order meals for busy season lunches and dinners. Facilitate set up and clean up.

Qualifications & Skills

  • Knowledge of general office procedures.
  • Ability to produce high quality work product with attention to detail.
  • Must be a problem solver and able to think a task through from beginning to end.
  • Ability to learn, interpret, and apply multiple human resource disciplines, policies, procedures and guidelines.
  • Excellent interpersonal skills with a customer service orientation. Ability to communicate effectively, courteously and professionally with a variety of individuals at all levels, both internal and external to the organization.
  • Excellent verbal and written communication, presentation, organizational, time management and problem-solving skills.
  • Computer literacy with proficient use of programs including Microsoft Office programs, email, internet and other proprietary software to efficiently accomplish work.
  • Able to promote and implement process improvement.
  • Must be able to work closely and collaboratively with the COO and Controller on a daily basis.
  • High energy level, comfortable performing multifaceted projects.

Education and Experience

  • College degree or combination of education and experience in a professional business environment.
  • Minimum 5 years of administrative office experience. Preferably in a CPA firm or other professional services organization.
  • Project management and/or workflow management experience.
